Managing Members

Learn how to invite collaborators, assign roles, manage permissions, and organize teams within a NOS project.

NOS projects support collaborative workflows with fine-grained access control. You can invite team members, assign roles, organize members into teams, and audit activity across your project.

Inviting Members

You can invite new members to your project from the project settings page.

Sending Invitations

Navigate to Settings → Members → Invite. Enter a username or email address and select the role you want to assign. The invited user will receive a notification via email and in-app. Invitations expire after 7 days if not accepted.

You can invite multiple users at once by entering comma-separated email addresses. Each user will receive an individual invitation with the same role assignment.

Invitation States

Invitations can be in one of several states:

  • Pending — The invitation has been sent but not yet accepted.
  • Accepted — The user has joined the project.
  • Declined — The user chose not to join.
  • Expired — The invitation was not acted upon within 7 days.

Project admins can resend expired invitations or revoke pending ones from the Members tab.

Bulk Invitations

For enterprise accounts, you can upload a CSV file with email addresses and role assignments to invite large groups at once. The CSV format should include columns for email and role. Invalid entries will be skipped and reported in the upload summary.

Roles and Permissions

NOS provides role-based access control (RBAC) for projects. Each member is assigned exactly one role that determines what actions they can perform.

Owner

The project owner has full control over the project. There can only be one owner per project. Owners can:

  • Delete the project entirely
  • Transfer ownership to another member
  • Manage billing and subscription settings
  • Perform all actions available to Admins and Members

Ownership transfer requires confirmation from both the current and new owner.

Admin

Admins can manage most aspects of the project but cannot delete it or change billing. Admin capabilities include:

  • Invite and remove members
  • Change member roles (except promoting to Owner)
  • Create, edit, and delete datasets, pipelines, and simulations
  • Manage project settings and integrations
  • View audit logs

Member

Members can view and interact with project resources but have limited management capabilities:

  • View all datasets, pipelines, and simulations
  • Run existing pipelines and simulations
  • Upload data to existing datasets
  • Comment on forum topics and issues

Members cannot change project settings, invite other users, or delete resources.

Viewer

Viewers have read-only access to the project. This role is useful for stakeholders who need visibility without the ability to modify anything:

  • View datasets, pipeline configurations, and simulation results
  • Download exported reports
  • View (but not post to) forum discussions

Managing Existing Members

Once members have joined your project, you can manage their roles and access from the Members tab.

Changing Roles

Project owners and admins can change a member's role at any time. Navigate to Settings → Members, find the user, and select a new role from the dropdown. Role changes take effect immediately — the member's permissions update on their next page load.

Note that only the project owner can promote a member to Admin. Admins cannot promote other members to Admin or Owner.

Removing Members

Project owners and admins can remove members from the Members tab. Click the remove button next to the member's name and confirm the action. Removed members will immediately lose access to the project.

When a member is removed:

  • Their access is revoked instantly
  • Any pipelines they created remain in the project
  • Their forum posts and comments are preserved
  • They can be re-invited later if needed

Transferring Ownership

Only the current project owner can transfer ownership. Go to Settings → Members, find the target member, and select "Transfer Ownership." The target member must already have the Admin role. After transfer, the previous owner is automatically assigned the Admin role.

Activity and Audit Logs

NOS tracks member activity within projects for security and compliance purposes.

Viewing Activity

The activity log shows recent actions taken by project members, including:

  • Resource creation and deletion (datasets, pipelines, simulations)
  • Member invitations, role changes, and removals
  • Pipeline and simulation runs
  • Settings changes

Activity logs are accessible from Settings → Activity and can be filtered by member, action type, and date range.

Exporting Audit Data

Enterprise accounts can export audit logs in CSV or JSON format for compliance reporting. Exports include timestamps, user identifiers, action descriptions, and affected resource IDs. Audit data is retained for 90 days by default, with extended retention available on enterprise plans.

Best Practices

Follow these guidelines to effectively manage your project team:

  • Use the principle of least privilege — Assign the most restrictive role that still allows members to do their work. Start with Member or Viewer and promote as needed.
  • Review members regularly — Periodically audit your member list and remove users who no longer need access.
  • Use descriptive invitations — When inviting members, include a message explaining what the project is about and what you expect from them.
  • Monitor the activity log — Check the activity log periodically to ensure members are using the project appropriately and to catch any unauthorized changes early.
